Does Amazon accept a doctor's note for an absence? Amazon's own policy guide describes Unpaid Time (UPT) as an automatic bank that covers missed shifts, separate from any note. Amazon runs one of the largest hourly workforces in the country across its fulfillment centers, delivery stations, and sort centers, and its time-off system works differently from a traditional sick-day policy. Here’s what Amazon’s own materials say, and where a doctor’s note actually fits.
What Amazon says about time off and attendance
Amazon’s hourly employee benefits split into a few distinct buckets, according to Amazon’s own PXT (HR) policy guide for US Customer Fulfillment employees. Paid Personal Time (PPT) is paid time that can be used for sickness, emergencies, or personal reasons, and accrues each pay period up to a cap based on employee class. Vacation is separate and accrues by tenure. Unpaid Time (UPT) is the bucket most relevant to a sudden sick day: it’s a bank of unpaid hours that Amazon applies automatically when an employee misses part of a scheduled shift and hasn’t used another time-off type. Per the policy guide, eligible employees receive 10 hours of UPT at hire, then accrue 5 minutes of UPT for every hour worked, up to an 80-hour cap, with up to 80 hours carrying over into the next year.
Amazon’s own documentation does not describe a mechanism for a doctor’s note to reverse or offset a UPT deduction for an ordinary missed shift. UPT is designed to be a no-questions-asked absence allowance up to its cap; once it’s exhausted, an unexcused absence can lead to disciplinary action, including termination, per Amazon’s stated attendance framework. A note becomes relevant in a different context: requesting a formal leave of absence, which is a separate process from a single UPT-covered day.
How state laws change the picture
Amazon employs large numbers of hourly workers in states with their own statewide paid-sick-leave and paid-family-and-medical-leave laws, several of which specifically require different accrual or documentation rules than Amazon’s national policy:
- California, where Amazon has extensive fulfillment and logistics operations, has its own statewide paid-sick-leave law and separate PTO/UPT policy variants (Amazon’s benefits pages note California and Washington-specific PTO rules apply separately from the general policy). Where a state or city law sets stricter rules on what documentation an employer can require for a short absence, that law generally controls over Amazon’s general national policy. Amazon’s own PTO and UPT rules already build in some of this variation: the amazon.jobs benefits page notes separately that California and Washington employees follow their own PTO structures rather than the general schedule, which is a direct acknowledgment that a one-size national policy doesn’t fit every state’s legal floor.
When a doctor’s note is typically requested
Outside Amazon’s specifics, the general practice across large employers is that documentation gets requested for longer or recurring absences, not for a single day covered by UPT or PPT, and mainly when an employee is initiating a formal leave of absence or intermittent leave arrangement. A note used for this purpose generally needs to state that the employee was seen, the dates involved, any work restrictions, and a signature from a licensed provider. It does not need to disclose a diagnosis; under EEOC guidance, disability-related medical inquiries of current employees must be job-related and consistent with business necessity, which a routine absence rarely meets.
Practical steps if you’re out sick
- Report the absence through Amazon’s own systems (A to Z) as soon as possible, so UPT or PPT applies correctly instead of registering as unexcused.
- Track your own UPT and PPT balances. Because UPT resets and caps on a rolling basis, knowing your balance before you call out avoids surprises.
- If the absence is likely to extend beyond a few days, or is part of a recurring condition, start a leave-of-absence request through A to Z rather than stacking single-day UPT absences, which is what triggers the formal documentation process.
- Keep your own copy of any note or certification you submit, along with the date and how you submitted it.
FMLA and longer absences
If you or a family member has a serious health condition and you meet FMLA’s eligibility requirements (generally 12 months of employment and 1,250 hours worked in the prior 12 months, per the U.S. Department of Labor), that absence should go through Amazon’s formal leave process, not a single doctor’s note. FMLA leave requires its own medical certification, completed by a health care provider through Amazon’s leave process. Where an online doctor’s note fits
A note signed by a physician licensed in your state is a legitimate medical document whether the visit happened in person or online. Amazon’s public materials don’t address online doctor’s notes specifically, and Amazon has not endorsed or partnered with any doctor’s-note service.
