How medical-cancellation clauses usually work

Several states regulate health club or health studio contracts specifically, and many of those laws require a way to cancel early for a medical reason. New York’s General Business Law lets a member cancel a contract, upon a doctor’s order, when a significant physical disability keeps them from using the club for more than three months, and the club may ask for reasonable supporting evidence; the same law requires the refund within ten business days, minus a fair charge for services already used. Florida’s rule works differently but reaches a similar result: if you die or become physically unable to use the facilities, the contract can be canceled and you’re owed a refund for the unused time. A number of other states have their own versions of the same idea, each with its own disability threshold, notice period, or documentation rule. Requirements differ by state, and not every state has a law like this, so check your own state’s rules alongside your contract.

What the note needs to say, and what it doesn’t

The note documents that you reported a medical reason affecting your ability to use the gym and were advised accordingly. It doesn’t need to spell out a specific diagnosis unless your contract requires one, since the gym generally just needs to know that a doctor is documenting the limitation and roughly how long it’s expected to last. The gym, not the doctor, decides whether that documentation satisfies its contract or the applicable state law. Some contracts also distinguish between a temporary condition and a longer-term one, since laws like New York’s are built around a disability lasting more than a set number of months rather than a short-term injury, so a brief illness may not qualify for this specific kind of cancellation even if it would qualify for other exceptions in your contract.

Steps to actually cancel

Most laws and contracts want the request in writing, and some specify how you have to send it, such as by mail, email, or in person, so check your contract before you submit anything. Note any deadline tied to your billing cycle, since a late request can mean paying for another month. Keep a copy of what you send and when you sent it. If a refund is owed for time you already paid for but won’t use, ask how it’s calculated; some state laws require a pro-rated refund within a set number of business days.

Privacy and verification

If your gym wants to confirm the note is real, that only happens with your permission. A doctor can’t disclose your health information to the gym without your consent, so the note itself, not a phone call to your doctor’s office, is what does the verifying.
